Move from QuickBooks to Ledgri

Export your lists and balances from QuickBooks Online or Desktop and import them in the right order.

Updated October 26, 2026

You can move from QuickBooks in about an hour. You bring over your lists, your balances on a start date, and whatever is still unpaid. Your old QuickBooks file keeps the full history for reference.

1. Pick a start date

Choose the first day you'll record everything in Ledgri. The first day of your financial year is easiest, or the first day of a month. You'll export your balances as of the day before this date.

2. Export from QuickBooks Online

WhatWhere in QuickBooks
Chart of accountsAccounting → Chart of accounts → Run report → Export to Excel
CustomersSales → Customers → export icon above the list
VendorsExpenses → Vendors → export icon above the list
Products and servicesSales → Products and services → More → Export to Excel
Trial balanceReports → Trial Balance, dated the day before your start date → Export to Excel
Unpaid invoicesReports → A/R Aging Detail (or Open Invoices) → Export to Excel
Unpaid billsReports → A/P Aging Detail (or Unpaid Bills) → Export to Excel

QuickBooks Desktop: use Reports for the trial balance and aging reports, and Lists for customers, vendors and items. Save each as Excel or CSV.

3. Import into Ledgri

Go to Settings → Import data, choose QuickBooks, and import each file in this order:

  1. Chart of accounts. Accounts you already have in Ledgri are kept.
  2. Customers, then Vendors.
  3. Products & services.
  4. Opening balances (your trial balance). Leave the box ticked to skip accounts receivable and payable: the next two steps bring those in.
  5. Unpaid invoices, then Unpaid bills. Invoices keep their QuickBooks numbers, so you can record payments against them.

For each file, Ledgri finds the heading row (QuickBooks puts report titles at the top), matches the columns and shows a preview. Check it, then click Import.

4. Check it

Run the Trial balance in Ledgri as of the day before your start date and compare it with QuickBooks. Then compare Aged receivables and Aged payables. If anything is off, see My opening balances don't match.

5. Bank accounts and payroll

  • Import your bank transactions from the start date on with Import a bank statement.
  • Moving payroll partway through a year? Import your employees, then contact us before your first pay run and we'll help set up their year-to-date amounts so CPP, EI and T4s come out right.
